About this role…
The role primarily focuses on supporting financial advisors and office coordinators in maintaining accurate and up-to-date client data, ensuring compliance, and assisting in the creation of advice documents. The key responsibilities include reconciling IPS data, managing transactions, applying corporate actions, and ensuring client records meet regulatory requirements. This position also involves regular communication with fund managers and platform providers, as well as assisting with time recording and costing requirements.
Key Responsibilities:
1. Reconciling IPS Data in Xplan:
o Download and compare data from platforms (source of truth) to Xplan records, ensuring the accuracy of financial data.
o Manually enter transactions and income where necessary to maintain consistency across platforms.
o Apply corporate actions to portfolios as required, ensuring accurate reflection in Xplan.
o Address and resolve minor discrepancies and flag major discrepancies with the FO Coordinator for further action.
o Run Portfolio Valuation and Performance reports, providing these to the Advisor/FO Coordinator for review and decision-making.
2. Writing of Record of Advice Documents:
o Request investment recommendations from the FO Coordinator/Advisor to include in client advice documents.
o Utilize the Wizard tool in Xplan to generate Record of Advice documents, tailoring them to client-specific needs.
o Ensure the advice documents are edited and only relevant information is included.
o Source benchmarking data and incorporate it into the advice documents as required.
o Send completed drafts to the FO Coordinator for final approval and ensure the final document is accurate and aligned with regulatory standards.
3. Checking Client Records for Compliance Data (Wholesale and AML/CTF):
o Verify that wholesale certificates are current and cover all entities before generating advice documents.
o Ensure Anti-Money Laundering (AML) and Counter-Terrorism Financing (CTF) checks have been completed and documented properly for all clients.
4. Liaising with Fund Managers and Platform Providers:
o Request necessary holding and/or dividend statements from fund managers, ensuring all required documentation is provided.
o Upload relevant documents to platforms to ensure clients’ portfolios are up-to-date and complete.
5. Updating and Maintaining Client Data in Xplan:
o Regularly update client information in Xplan, ensuring it remains accurate and complete to facilitate efficient financial planning.
6. Attend to Time Recording and Costing Requirements:
o Accurately record time spent on various tasks and maintain records for costing purposes, ensuring efficient resource management.
7. Attendance at Internal Team Meetings and Updates:
o Participate in team meetings, providing updates on ongoing tasks, challenges, and accomplishments, fostering communication and collaboration within the team.
8. Accurate Filing of All Client Documentation:
o Ensure that all client-related documents are correctly filed and easily accessible for compliance and operational purposes.
